Position Summary
We’re looking for a detail-oriented, self-motivated Billing & Accounting Specialist to join our team. This role supports billing, payroll timecard entry, accounts payable/receivable, and general accounting. The ideal candidate brings strong organizational skills, thrives in a collaborative environment, and aligns with our people-first values.
Key Responsibilities
Billing & Accounts Receivable
- Prepare and send customer invoices
- Communicate with customers regarding billing, payments, and overdue balances
- Coordinate with project managers to ensure timely billing
- Receive and apply customer payments; follow up on outstanding accounts
Payroll
- Enter timecard data from QuickBooks into Aptora
Accounts Payable
- Verify invoices against purchase orders and receipts
- Process vendor payments and maintain strong relationships
- Reconcile vendor accounts and respond to inquiries
Administrative Support
- File customer documentation accurately
- Answer incoming calls from customers and vendors
- Cross-train in other administrative roles for coverage support
- Assist with additional tasks as needed
Qualifications
- Approximately 10 years of relevant accounting or billing experience preferred
- Candidates with general accounting knowledge and less experience will also be considered if they are a strong fit

- Proficiency with accounting software and data entry
